Enrolment Procedure
- Fill in the form by hand, scan and email admissions@nativeenglish.com.au. Or if available, complete an online form on our website.
- Include your passport, visa details and any other supporting documents.
- Applicants must complete the student application form, sign and date where required and attach passport and high school graduation certificate.
- When required, students complete the Genuine Temporary Entrant (GTE) Evaluation Form and an online placement test.
- When we have received your application form and related documents in full, Native English College (NEC) will send you an Offer Letter (including Student Invoice and Course Acceptance Agreement) if we can accept your enrolment.
- With the Offer Letter, you will also receive a digital copy of our Student Handbook and Course Outlines and Learning Outcomes for the course(s) you are to study with us.
- To confirm enrolment, you will sign and return the Offer Letter along with payment.
- Upon confirming your payment, we’ll send you a Confirmation of Enrolment (CoE) Letter. This proves that you are a student at Native English College. If you are entering Australia under a student visa, you will need your CoE before you can apply for your visa.
- For all enrolments of 24 weeks or less, Native English College must receive full payment of tuition fees at least two weeks prior to the course commencement date.
- For enrolments of 25 or more weeks students can pay full fees if they wish to (for example to take advantage of favourable exchange rates or have the convenience of only paying once), but they are not required to pay more than 50% upfront. You are only required to pay 50% of tuition fees at least two weeks prior to the course commencement date. The second instalment is due within 8 weeks of the commencement date.
- When we send the Enrolment Confirmation Letter we will include more information about our extra activities, extra classes and life in Adelaide.
- If you want to know more about the visa requirements, then please contact the Australian Embassy, Consulate or High Commission located in your country. Alternatively you can contact the Department of Home Affairs (DHA). Their website is www.homeaffairs.gov.au
- All school aged dependents of the student that are in Australia are required by Australian law to attend either a government or non-government school unless they are exempt from this. Fees for this schooling must be paid independently, for more details please check with DHA.
Terms and Conditions of Enrolment
- Your enrolment at NEC is regulated by ASQA in accordance with the Education Services for Overseas Students Act 2000 (ESOS Act 2000), the Education Services for Overseas Students Legislation Amendment (Tuition Protection Service and Other Measures) Act 2012, The National Code (2018) and the ELICOS Standards (2018). You can find links to these documents at the government website aei.gov.au.
- You are required to keep copies of all written agreements with NEC (including this one) as well as all invoices and payment confirmations relating to tuition fees and non-tuition fees.
- NEC is not required to accept any application. In accordance with NEC’s Refund Policy, if the college rejects an application without reason, then fees will be refunded in full.
- You are required to make all tuition payments and understand that you need to financially support your stay in Australia. As of October 2022, according to www.studyaustralia.gov.au/english/live/living-costs/, 12 month living costs are AUD$21,041 for students and guardians; and additional AUD$7,362 for partners and for each child with you, AUD$3,152.
- You must have a valid visa to study at the College.
- Course fees cannot be transferred to another student under any circumstances.
- NEC reserves the right to adjust course fees. Once the Offer Letter has been signed however, the fees and instalments cannot be changed.
- NEC reserves the right to adjust timetables if accepted by ASQA, even for students that have already commenced their studies.
- There is no minimum English Proficiency requirement for entry into the General English program. However, all students must take a placement test either prior to enrolment or their first day at the college.
- Students studying on a student visa, must attend 20 hours of face-to-face classes a week, and must be 18 years of age and over at time of study.
- Each course has formative and summative assessment which will determine whether the student will progress in their course.
- Students are required to get Overseas Student Health Cover (OSHC) prior to commencement. If you require help with this, you can either contact us or your agent.
Attendance Requirements
- NEC requires regular attendance and punctuality in order for you to gain the maximum benefit from your studies. A minimum of 80% attendance is required for each course taken.
- If you are ill you need to get a medical certificate to gain the lost attendance. For other unavoidable or excessive absences, speak with Student Services.
- If your attendance falls below 90% for the course, then we will issue a First Warning Letter.
- If your attendance falls below 85% for the course, then we will issue a Second Warning Letter.
- If your attendance falls below 80%, then we will issue an Intention to Report Letter.
- You will have 20 calendar days to make a complaint and begin the complaints and appeals process. You can get a complaint form from Reception.
- If your attendance is still unsatisfactory at that time then we will be required to inform the relevant government authority and cancel your CoE.
Student Code of Conduct
- Students will:
- Show respect to all other students, teachers and staff at Native English College.
- Hold a valid visa to study at NEC and ensure that you comply with the requirements of that visa. You must notify NEC of your residential address and contact details and any change to your residential address and/or contact details within 7 calendar days while enrolled at NEC.
- Have appropriate insurance whilst in Australia to cover any incident, injury, loss or similar. Student visa holders must hold the appropriate health insurance as required by their visa.
- Follow all lawful and reasonable instructions given by NEC staff while on school premises and/or while participating in excursions, extracurricular activities and/or events organised by NEC.
- Take sole responsibility for your own safety, personal belongings and actions while on school premises and/or while participating in excursions, extracurricular activities and/or events organised by NEC. You understand that neither NEC, its teachers, management, nor staff are responsible for your actions or safety. You will not hold Native English College, its teachers, management, or staff responsible for any mishap, loss, accident, or injury.
- Not give false or misleading information to NEC about identity, history or visa.
- Inform the school of any changes in their visa status.
- Not participate in any criminal activity according to Australian law.
- Not do anything to harm NEC’s facilities.
- Pay their tuition fees and other charges appropriately.
- Provide an email address that they check regularly to the school at the time of enrolment.
- Check their email regularly for information relating to their enrolment at the school.
- ENGLISH ONLY POLICY: While on the campus of Native English College, students must only speak in English. If a student is heard speaking another language then they will receive an initial warning (yellow card) and will need to miss the rest of the class they are in. Students who receive a yellow card can stay in the student library to do private study. If they receive a second warning on the same day (red card), then they will need to leave the school for the rest of the day.
- The purpose of the English Only Policy is to improve students’ acquisition of English as effectively as possible.
- Failure to comply with any of the Student Code of Conduct may result in you being dismissed and/or suspended from your course.
Study Breaks and Public Holidays
- For every twelve weeks of enrolment, students are able to get two weeks of study breaks. Students need to apply to reception or student services in advance. You cannot claim a study break if you have already missed a few days of class that week for example.
- Students are not charged for the study break weeks, but these are added to their total enrolment duration automatically. If students don’t use their study break weeks during their enrolment, they come at the end of their studies automatically.
- There is a compulsory two week study break over Christmas each year when the school does not operate. There is also a second compulsory non-teaching period in the 26th and 27th weeks of the year (“Winter Break”). Students are not charged during this period. If their enrolment includes either or both of these periods, it is added to the overall enrolment duration automatically.
- In addition to the two week study break over Christmas/New Year and the Winter Break, Native English College is closed for all public holidays in South Australia. These are: Australia Day, Adelaide Cup Day, Good Friday, Easter Monday, Anzac Day, King’s Birthday, Labour Day.
- No discounts, compensation or extra classes are given for shortened weeks.
Privacy
- Native English College is subject to the Privacy Act which regulates how your personal information is collected, handled, and used. The information provided by you (including but not limited to your contact details) in all forms of correspondence between you and Native English College may be shared between Native English College and the Australian Government and designated authorities. The information may also be used for general communication with you and for promoting compliance between you and Native English College. The ESOS Act further outlines circumstances in which this information may be shared.
- Photographs, videos, testimonials and/or course work provided by you and/or taken by or on behalf of NEC may be used by or on behalf of NEC for marketing and promotional purposes.
- This agreement, and the availability of Native English College complaints and appeals processes, does not remove your right to take action under Australia’s consumer protection laws.
Complaints and Appeals
- The college has a Complaints and Appeals Policy which is available on the Website. Students can make complaints directly via email to info@nativeenglish.com.au or can complete a Corrective Action Form (CAF) available at reception or via email.
- Step 1: We attempt to solve the problem informally with all of the people involved.
- Step 2: A formal complaint is made in writing either via the CAF or in an email.
- Step 3: Principal Executive Officer begins investigation with relevant staff/students and provides confirmation that they have received the complaint within 10 days and provide a full written response within 20 days of the complaint being lodged.
- If the claims aren’t warranted, references to the ombudsman are given in the letter to the student.
- If the student is unsatisfied with the decision, the student can appeal within 10 days of the result.
- The college provides a response within 10 days of receiving the appeal.
- If there is still no resolution, then the student is invited to contact the ombudsman for an external investigation.
Refund Policy and Changes to Enrolments (Deferral, Suspension and Cancellation)

- A full detail of Refunds can be obtained by requesting a copy of the Refunds Policy.
- In all cases under the Refund Policy any enrolment fee, instalment fee, credit card transaction fee, and accommodation placement fee are non-refundable.
- All refund requests must be made in writing and accompanied by supporting documentation.
- Definition: ‘enrolment’ means the full period of study as submitted on the application form at any campus. ‘Commencement date’ means the commencement of enrolment in the letter of offer. When multiple offer letters are issued the earliest commencement date is used and all course components contained within those offers constitute the full enrolment.
- Once the refund request is approved, the refund will be made within 14 calendar days from the date of approval by electronic funds transfer to a bank account nominated by the student or as reverse payment to the credit card from which the payment was processed. Bank transfer fees will be deducted.
- As prescribed in section 47E of the ESOS Act, Native English College will refund fees in full less AU$500 or 5 percent of the pre-paid tuition fee (whichever is the lesser) if your student’s visa application is rejected or a student’s visa renewal is refused prior to starting a course. The request for a refund must include a letter of notification from the appropriate Australian Government Office.
- In the case of a student visa rejection, any other prepaid non-tuition fees (other than the Materials Fee) will not be refunded.
- If students cancel their enrolment more than 30 calendar days before commencement, then they will receive a full refund less $500 or 5% of pre-paid tuition fees, whichever is the lesser. They will not be refunded any other pre-paid non-tuition fees (other than the Materials Fee).
- Native English College will refund 60% of the tuition fee if a student decides to cancel the enrolment providing written notice is given more than 20 calendar days (but less than 30 calendar days) before the commencement date.
- 50% of the tuition fee will be refunded if NEC receives the written notice less than 20 calendar days before the commencement date.
- The tuition fee will not be refunded after the commencement date.

- Any changes to enrolment that take place as a result of a deferral, suspension or cancellation will be reported to the relevant department of the Australian Government through PRISMS as required under the ESOS Act.
- Beyond the scenarios outlined above, NEC may refund if there are compassionate or compelling grounds for a refund such as:
- Serious illness or injury, where a medical certificate states that the student was unable to attend classes,
- Bereavement of close family members such as parents or grandparents (where possible a death certificate should be provided),
- Major political upheaval or natural disaster in the home country requiring emergency travel which has impacted on the student’s studies,
- A traumatic experience which could include:
- Involvement in, or witnessing of a serious accident; or
- Witnessing or being the victim of a serious crime, and these experiences have impacted on the student (cases should be supported by police or psychologist reports)
- Inability to begin studying on the course commencement date due to delay in receiving a Student visa
- If Native English College must cancel your course, for any reason other than default by the provider, then you can take another course offered by the College or request the tuition fees for the weeks you couldn’t finish to be refunded in full.
- If Native English College must cancel your enrolment due to provider default or bankruptcy, then you will be eligible for support from the Tuition Protection Scheme (TPS). They will assist you to either complete your studies at another provider or receive a refund of all unspent tuition fees. For more information please visit www.tps.gov.au
- If you arrive in Australia late then there is no refund for any classes that you miss.
- If your behaviour is inappropriate by management according to our Student Code of Conduct (which is located in the policy section of our website) then Native English College reserves the right to ask you to leave the school.
- If you commit a criminal offence under Australian law then Native English College will discontinue your enrolment and not refund any remaining weeks of tuition.
- Where the student has breached a condition of their visa, fails to pay an amount payable to NEC for the course, and/or fails to comply with the Student Code of Conduct resulting in dismissal and/or suspension from a course at NEC, no refund of fees will be made. You may also be required to pay for any damages and/or disruptions caused, and/or reported to the relevant government authorities, which could result in the cancellation of your visa.
- If for any reason Native English College is unable to start delivery of the course on the agreed starting date or ceases to deliver the course before it is completed the full refund of unused prepaid Course fees.
- If you wish to defer your course start date, you must notify Native English College more than 14 calendar days prior the course commencement date or charges will apply. Where you are granted a course deferment and later cancel, any refund amounts or cancellation fees will be calculated based on the original course commencement date. Student visa holders should note that any deferral will require a change of CoE and may impact on their visa status.
- If you wish to suspend your enrolment after commencement, you will need to submit an application at least 10 calendar days before the beginning of the suspension period. If the suspension is due to an emergency, the College may waive the 10 day requirement.
- Once the College has received the application, a response will be given within 5 calendar days.
- For suspensions that are of 28 calendar days or longer, the student will be required to return to their home country.
